01What you're launching
You are automating the end-to-end handling of incoming customer complaints, from the moment a complaint arrives by email or web form through to ticket assignment, customer acknowledgement, manager escalation, and overdue alerts. Today, support agents read every complaint manually, judge severity by personal judgement, create tickets by hand, route them informally, and hope someone notices when a deadline passes. After this build, two AI agents handle intake, triage, routing, notifications, and escalation automatically. The only step that stays with a human is the actual resolution of the complaint, where judgement and relationship skill are still needed.

02How the build works
FullSpec runs the build across four sequential stages: Connect, Build, Test, and Launch. Each stage has a clear owner for every action so nothing stalls waiting for information. The total delivery window is four business weeks from the close of Connect. FullSpec manages all technical work, configuration, and testing. Your involvement at each stage is limited to short, defined actions, most of which take under an hour.
Complexity level: Moderate. Estimated delivery: 4 weeks (approximately 20 business days). The delivery clock starts at the close of Connect, not payment. Build cannot begin until all tool credentials are confirmed and the configuration decision in Section 03 is resolved.

FullSpec
Send credential request list for Zendesk, HubSpot, Slack, and Gmail. Share a short briefing form covering severity scoring thresholds and escalation routing rules. Schedule a 30-minute kick-off call with your support manager.

Provide tool credentials or invite the FullSpec service account to each tool. Complete the briefing form confirming severity thresholds, response time deadlines, and which roles receive routing notifications. Attend the kick-off call.
2Build
Business days 4 to 15
FullSpec
Build and configure the Complaint Triage Agent (Zendesk intake, HubSpot record lookup, severity scoring logic). Build the Escalation and Routing Agent (ticket assignment, Slack notifications for agents and managers, Gmail acknowledgement send, overdue escalation alert logic). Connect all tools through the automation platform and validate each integration connection.
You
Be available to answer any clarifying questions about routing rules or escalation thresholds that arise during build. No technical action is required from you during this stage.
3Test
Business days 16 to 18
FullSpec
Run the full automated flow against a sample of real past complaints covering low, medium, and high severity cases. Test overdue escalation triggers, duplicate submission handling, and edge cases. Share a test results summary and any threshold adjustment recommendations.

Review the test results summary (typically a 15-minute task). Confirm that severity scoring looks correct against the sample complaints. Approve go-live or flag any adjustments needed before launch.
4Launch
Business days 19 to 20
FullSpec
Switch the automation live on your complaint channels. Monitor the first 48 hours of live runs for any scoring anomalies or routing errors. Deliver the full documentation suite including the SOP, Integration and API Spec, and Developer Handover Pack.
You
Brief your support agents on what has changed (FullSpec provides a one-page agent summary to share). Confirm with your support manager that Slack notifications are arriving correctly after the first live complaints are processed.

03What FullSpec needs from you
FullSpec needs only access to your existing tools. No technical knowledge is required from you or your team. The table below lists every credential needed and when it is required. All access should be in place before Connect closes so that build can begin on day four without delay.

One decision must be confirmed before Connect closes: the severity scoring thresholds and escalation response time deadlines. This means agreeing what makes a complaint low, medium, or high severity, and how long each tier has before an overdue alert fires. Your support manager needs to sign off on these criteria. Without this agreement, the Triage Agent cannot be calibrated correctly and build cannot start on schedule. FullSpec will prompt you with a short options form during the Connect call.
04Your role once live
Once the automation is live, day-to-day complaint handling changes significantly for your support team. The table below sets out what each party is responsible for on an ongoing basis.

Review any high-severity complaints flagged to the manager in Slack. Override a severity score directly in Zendesk if an agent believes the AI assessment is incorrect.
