Question 1

What manual work can we automate around Tutory?

Accepted Answer

You can automate the creation and distribution of study plans by connecting Tutory to your CRM or contact database, so when a new contact record is added, a corresponding study plan is generated automatically in Tutory. You can also automate the export of completed study plans to documents or spreadsheets, and trigger notifications to contacts when plans are ready. Any repetitive task involving moving contact data into Tutory or pushing plan outputs to other systems is a candidate for automation.

Question 2

How does data flow between Tutory and other business tools?

Accepted Answer

When Tutory is connected to other platforms, contact information typically flows in (names, contact details, goals) to trigger plan creation, while completed or updated study plans flow out as records or file exports. Most integrations work through API connections or webhook triggers that watch for new records or status changes. The direction and format of data depends on how your automation is configured, but the platform must support standard data formats for the connection to work reliably.

Question 3

What breaks or causes problems when automating with Tutory?

Accepted Answer

Common issues include mismatched data formats between Tutory and connected tools (dates, contact fields, text encoding), which can cause plan creation to fail silently. If Tutory requires specific fields to be filled before generating a plan, incomplete incoming data will block the workflow. Plan exports may also time out if the system is processing many records at once, so batch-processing large volumes of study plans may need to be staggered rather than triggered simultaneously.

Question 4

How should we structure Tutory so automations work reliably?

Accepted Answer

Standardize the format of contact data being sent into Tutory (consistent field names, required vs. optional fields, date formats) so automation rules don't fail on formatting errors. Create a naming or tagging system in Tutory for study plans so they can be reliably identified and exported in automated workflows. Document which fields in your contact system map to which fields in Tutory, and test the entire flow with sample data before running it live to catch configuration mismatches early.
