Question 1

What manual tasks around System & Soul can I automate?

Accepted Answer

You can automate the transfer of goal data, meeting notes, and performance updates between System & Soul and other business tools. Common automations include syncing newly created goals from System & Soul into project management platforms, pushing meeting outcomes back into System & Soul to keep records current, and triggering notifications in communication tools when performance milestones are reached. This reduces the need to manually copy information across systems and keeps your team aligned without duplicate data entry.

Question 2

How does data flow between System & Soul and other tools?

Accepted Answer

When System & Soul connects to other applications, data typically flows in two directions: outbound exports of goals, meeting summaries, and performance metrics leave System & Soul and enter connected systems, while inbound data from those tools can update records within System & Soul. The exact data structure depends on your connection setup, but most integrations map fields like goal titles, due dates, assignees, and status updates. Always verify field mappings during setup to ensure data arrives in the correct format on both ends.

Question 3

What breaks or causes problems when automating System & Soul workflows?

Accepted Answer

Common issues include misaligned field names when syncing goal or performance data, timestamp mismatches that cause duplicate records, and permission restrictions that prevent writes back into System & Soul. If goal assignments or meeting attendee lists change frequently, automations may send outdated information if they run on a delay. Test automations with a small set of records first to catch field mapping errors before running at scale.

Question 4

How should I structure System & Soul to make automations reliable?

Accepted Answer

Set up consistent naming conventions for goals, meeting types, and performance categories so automation rules can match data accurately across systems. Use unique identifiers (like goal IDs or meeting reference numbers) rather than relying on names alone, since duplicates can cause automations to target the wrong records. Document which fields in System & Soul feed into your automations and which are read-only, so your team understands what will and won't sync to connected tools.
