Question 1

What kind of work can be automated into or out of Sunsama?

Accepted Answer

You can automate the creation of tasks and to-dos in Sunsama from incoming data in other tools, such as new form submissions, email messages, or items from your CRM. You can also automate the export of completed tasks or task metadata from Sunsama to other systems for logging, reporting, or downstream processing. However, Sunsama is primarily designed as a daily planning and execution tool, so automation works best for one-way flows into your daily view or one-way exports of task status after completion.

Question 2

How does data move between Sunsama and other business tools?

Accepted Answer

Data typically flows into Sunsama via API or webhook integrations that create new tasks based on triggers from other applications. Task information such as title, description, due date, and assigned owner can be mapped during setup. Data flows out of Sunsama when tasks are marked complete or updated, allowing other systems to receive status changes or task results. The specific fields available for import and export depend on your automation platform and Sunsama's API capabilities.

Question 3

What breaks when automating with Sunsama?

Accepted Answer

A common issue is duplicate task creation if the same trigger fires multiple times or if the automation platform retries failed requests without deduplication logic. Task timing can also cause problems if you automate task creation without considering how Sunsama organizes work by day, potentially creating tasks outside your intended timeframe. Additionally, Sunsama's daily planning interface means that automatically-created tasks may not surface until you explicitly review that day's view, so automations work best when paired with notification workflows.

Question 4

How should we organize Sunsama for automations to work reliably?

Accepted Answer

Establish clear naming conventions and project structures in Sunsama before connecting automations, so that incoming tasks are routed to the correct projects and don't get lost in an unorganized task list. Assign specific team members or roles to handle automated tasks, and set default due dates or scheduling rules within your automation so tasks land on the right day. Consider dedicating a specific project or tag in Sunsama for automated incoming work so you can distinguish it from manually-created tasks and monitor whether automations are functioning correctly.
