Question 1

What manual work in Stibee can be automated through integrations?

Accepted Answer

Common automatable tasks include adding new contacts to subscriber lists when they come from other business tools, sending emails based on triggers from external systems, and updating contact records with data from outside sources. You can automate the creation and sending of campaigns on a schedule, subscriber list management based on form submissions or database changes, and the export of email performance metrics to analytics platforms. Automation eliminates repetitive data entry and manual campaign triggering while keeping your email operations synchronized with other business systems.

Question 2

How does data flow between Stibee and other business tools?

Accepted Answer

Stibee can receive contact information from external systems via integrations, allowing new subscribers or updated contact details to flow in automatically. Email performance data and engagement metrics can be pulled out of Stibee and sent to other platforms for reporting or further analysis. Most integrations operate through API connections, where one tool sends data to Stibee when an event occurs (like a new form submission) or Stibee sends data when a campaign is sent or opened. The flow direction depends on your workflow, but two-way sync is possible so changes in one system can update the other.

Question 3

What breaks or causes problems when automating Stibee workflows?

Accepted Answer

Subscriber list structure matters, as automation assumes a specific list exists and has the correct fields available, so changes to your list setup can interrupt workflows. If contact data from external systems contains mismatches (wrong email format, missing required fields), Stibee may reject those records silently. Timing can be an issue, as automated campaigns triggered by external events depend on reliable webhooks or polling, and delays in the integration can cause emails to send at unintended times. Rate limits from Stibee's API may throttle bulk operations, so large automated imports or exports may need to be spread over time.

Question 4

How should I organize my Stibee account to make automations reliable?

Accepted Answer

Create separate subscriber lists for different contact groups or data sources so automations target the right audience without mistakes. Define your contact fields consistently before setting up integrations, as adding or renaming fields mid-workflow can break automated data mapping. Document which external systems feed data into which Stibee lists and campaigns to avoid duplicate sends or cross-contaminated contact records. Use clear naming conventions for campaigns and lists so automations reference the correct resources and remain maintainable as your workflows grow.
