Question 1

What manual work can I automate when using Sonix?

Accepted Answer

You can automate the process of sending audio or video files to Sonix for transcription, retrieving completed transcripts, and routing them to downstream systems or storage locations. Automations can trigger transcription jobs based on file uploads, extract transcript text or metadata from completed jobs, and conditionally distribute transcripts to different destinations based on content type or other criteria. This eliminates manual file handling and removes the need to manually copy transcript data into other tools.

Question 2

How does data flow in and out of Sonix when connected to other tools?

Accepted Answer

Audio and video files are typically sent to Sonix via API or uploaded directly, and Sonix returns transcripts as text files or structured data containing the transcript, timestamps, and speaker labels. When integrated with other tools, you can export transcripts in multiple formats (TXT, VTT, JSON) and map transcript data fields into downstream systems like databases, storage platforms, or document management tools. The transcript data becomes available for retrieval once processing is complete, allowing other tools to consume it immediately or on a schedule.

Question 3

What are common problems when automating Sonix workflows?

Accepted Answer

Processing time varies based on file length and quality, so automations must account for asynchronous job completion rather than expecting instant results. Audio quality issues, heavy background noise, or unclear speech can reduce transcription accuracy and may require manual correction before downstream use. File format compatibility and size limits can cause jobs to fail silently if not validated before submission. Automations should include error handling to detect failed or incomplete transcriptions before passing data to dependent systems.

Question 4

How should I organize Sonix accounts or workflows for reliable automation?

Accepted Answer

Set up consistent naming or tagging conventions for audio and video files so automations can route transcripts to the correct destination or apply the right processing rules. Organize transcript outputs by file type, source, or date to keep downstream systems organized and prevent duplicate processing. Use API keys or authentication tokens securely in your automation platform and test the full workflow with sample files before going live. Monitor completed transcripts for quality issues and establish a manual review process if high accuracy is required for critical work.
