Question 1

What manual work can I automate when using SignWell?

Accepted Answer

You can automate document preparation, recipient routing, and follow-up workflows. For example, you can trigger SignWell document sends automatically when a record is created in another tool, populate signer fields with data from your database, and initiate downstream actions once a document is signed. This eliminates manual steps like copying contact information, manually creating signature requests, and checking for completion status.

Question 2

How does data flow between SignWell and other business tools?

Accepted Answer

Data can flow into SignWell through API calls that pre-fill signer names, email addresses, and document fields from your CRM, database, or workflow tool. After signing is complete, SignWell returns completion status, signature timestamps, and signed document references back to your connected systems. This two-way integration ensures your records stay current without manual data entry or file downloads.

Question 3

What are common gotchas when automating SignWell workflows?

Accepted Answer

Mismatches between field names in your source system and SignWell template fields can cause failed automation runs. Signer email addresses must be accurate, or invitations will bounce and workflows stall. Document templates must be set up identically in SignWell each time for reliable field mapping, and you should test the full flow end-to-end before going live to catch missing fields or incorrect routing logic.

Question 4

How should I organize SignWell templates and processes for reliable automation?

Accepted Answer

Create separate, reusable templates in SignWell for each document type with consistent field naming and signer order. Document your template structure and field labels so automation builders can reference them accurately. Establish a standard naming convention for templates and maintain a record of which templates connect to which workflows, so future changes or troubleshooting are straightforward.
