Question 1

What manual work can I automate when using Resource Guru?

Accepted Answer

You can automate the transfer of scheduling data from Resource Guru to other business systems, such as sending newly assigned resources to your project management tool, calendar system, or billing software. You can also automate notifications when resource availability changes or when schedules are updated in Resource Guru, triggering actions in downstream tools without manual data entry or status checks.

Question 2

How does data move between Resource Guru and other tools when automating?

Accepted Answer

Resource Guru connects to other business systems through APIs and automation platforms that read schedule and resource data from Resource Guru and write it to connected tools. Data typically flows outbound from Resource Guru (schedules, resource assignments, availability) into other systems, though some workflows may feed information back into Resource Guru from external sources like time tracking or project management systems.

Question 3

What are common problems when automating workflows with Resource Guru?

Accepted Answer

Scheduling conflicts or overlapping resource assignments may not always sync correctly to downstream systems if automation rules are not configured to handle real-time updates. Resource availability changes in Resource Guru might not immediately trigger updates in connected tools if the automation is set to batch processes rather than instant synchronization. Additionally, custom resource fields or non-standard scheduling scenarios may not map cleanly to external systems, requiring manual mapping or custom logic.

Question 4

How should I organize Resource Guru to make automations work reliably?

Accepted Answer

Ensure your resources, projects, and scheduling categories are named consistently and follow a standard structure before connecting automations, so that external systems can correctly identify and process the data. Define clear resource types and booking statuses in Resource Guru upfront, and maintain consistent naming conventions across teams, so automated workflows can reliably match and transfer information without human intervention or error correction.
