Question 1

What manual tasks in Releventful can we automate?

Accepted Answer

You can automate contact data entry, bulk updates to records when external data changes, notification workflows when specific contact or event conditions are met, and synchronization of contact information across your connected tools. Common automations include pushing new contacts into Releventful from external sources, updating contact fields based on events or form submissions, and triggering actions in other systems when Releventful records change.

Question 2

How does data move between Releventful and other tools?

Accepted Answer

Data flows into Releventful through API connections or webhooks that allow external systems to create or update contacts and records. Data flows out of Releventful the same way, letting you send contact information, event details, or status changes to downstream tools like email platforms, spreadsheets, or communication systems. The direction and trigger for data flow depends on how you configure the automation connection.

Question 3

What are common issues when automating Releventful workflows?

Accepted Answer

Field mapping errors occur when external data doesn't align with your Releventful field structure or data types. Duplicate contact creation can happen if your automation lacks proper deduplication logic before pushing data. Rate limiting may pause workflows if too many records are processed at once. Additionally, custom fields in Releventful may not sync automatically, requiring manual field configuration in your automation platform.

Question 4

How should we organize Releventful to support reliable automations?

Accepted Answer

Establish consistent field naming and data structure across all contact records before connecting automations. Define clear custom fields for data that needs to flow to external systems, and document which fields are source-of-truth in Releventful versus which are maintained elsewhere. Create contact segments or tags that automations can reference to target specific populations, and designate which contact attributes trigger automated actions to prevent conflicting updates.
