Question 1

What manual tasks in Realvolve can be automated through integrations?

Accepted Answer

You can automate contact creation and updates when data arrives from external sources, trigger workflow steps based on transaction stage changes, and send outbound data to other tools when records meet specific conditions. Common automation patterns include syncing new contacts into Realvolve from web forms or other platforms, updating contact details when information changes elsewhere, and routing records to follow-up tools when a transaction reaches a particular milestone.

Question 2

How does data move between Realvolve and other business tools?

Accepted Answer

Realvolve can receive contact and transaction data from external platforms via API or webhook-based integrations, allowing other tools to create or update records in real time. Data can also flow outward from Realvolve to third-party applications when you need to sync transaction status, contact information, or activity details. The direction and timing of data flow depends on how you configure the integration, but data typically moves based on triggers like a new record creation, status change, or scheduled sync.

Question 3

What breaks or causes problems when automating with Realvolve?

Accepted Answer

Field mapping mismatches are common when external data doesn't align with Realvolve's field structure or required data types. Workflow triggers can fire unexpectedly if automation rules overlap or if status changes occur faster than the system can process them in sequence. Custom fields in Realvolve may not sync with external platforms if they are not explicitly mapped, and bulk data imports can cause duplicate records if deduplication logic is not properly configured before the sync begins.

Question 4

How should I structure Realvolve to make automations reliable?

Accepted Answer

Define clear naming conventions for contact types, transaction stages, and custom fields so integrations reference consistent values across all systems. Establish a primary data source for each field to avoid conflicts when the same information syncs from multiple tools. Use Realvolve's built-in workflow rules and automation settings to standardize how records are handled, and test integrations with sample data before connecting live sources to prevent unexpected data overwrites or duplicates.
