Question 1

What manual tasks around Luma can be automated?

Accepted Answer

You can automate the creation and updates of events in Luma by connecting it to other business tools, so event data flows in automatically from forms, databases, or scheduling systems without manual data entry. You can also automate the sending of event invitations or reminders by triggering workflows when events are created or updated, or sync attendee information between Luma and your other business systems. Common automations include pushing event registration data out to contact management systems or triggering notifications when event details change.

Question 2

How does data move between Luma and other tools when automated?

Accepted Answer

When Luma is connected to other applications, event data typically flows out through APIs or webhooks, allowing systems to read event details, attendee lists, and registration information. Incoming data can be pushed to Luma to create or update events, though the specific fields supported and data formats depend on how Luma's integration is configured. Most workflows involve Luma acting as either a source (exporting event and attendee data) or a destination (receiving event creation or update requests from another system).

Question 3

What breaks or causes problems when automating with Luma?

Accepted Answer

Automations can fail if required event fields are missing or formatted incorrectly when data is sent to Luma, so your automation logic must validate that data meets Luma's expectations. Changes to event structures or custom fields in Luma may break existing workflows if automations reference fields that no longer exist. Timing issues can occur if automations try to update events that are actively being edited, or if attendee data syncs create conflicts between Luma and connected systems.

Question 4

How should I organize Luma to make automations work reliably?

Accepted Answer

Establish consistent naming conventions and required fields for events so automations can reliably identify and process the right data. Document which custom fields in Luma are used by automations, and coordinate with your team before removing or renaming fields, since changes can break workflows. Consider how event data will flow between systems and design your Luma structure to match the fields your other business tools expect to receive or send.
