Question 1

Can I automate sending review requests from Grade.us based on events in my other business tools?

Accepted Answer

Yes. Grade.us can receive triggers from connected tools like CRM systems or project management platforms to automatically send review requests at the right time, such as when a job is marked complete or a record status changes. This eliminates the manual step of logging into Grade.us to send requests and ensures they go out consistently without delay. You can also set up automated reminders to non-responders, reducing follow-up work.

Question 2

How does review data flow out of Grade.us into my other systems?

Accepted Answer

When reviews are collected and submitted in Grade.us, that data can be pulled into other connected tools via API or webhooks to populate databases, update contact records, or trigger downstream workflows. This creates a two-way connection where completed review data flows back into your primary systems without manual export or re-entry.

Question 3

What's the biggest mistake businesses make when automating with Grade.us?

Accepted Answer

The most common issue is sending requests without confirming that job or project data has actually been finalized in the source system. If review requests trigger too early, before work is truly complete, response rates drop significantly. Additionally, some businesses fail to set up consistent reminder sequences for non-responders, which means many potential reviews go uncollected even with automation in place.

Question 4

How should I organize Grade.us so automations stay on track?

Accepted Answer

Structure your Grade.us account with clear request templates and timing rules before connecting it to other tools, so automations execute the same process every time. Map out exactly which fields from your source system (like job status or completion date) should trigger requests, and ensure your connected tools are feeding Grade.us the correct, complete data. Without this foundation, automations may send requests at the wrong time or to the wrong contacts.
