Question 1

What manual work can I automate when using Formsite?

Accepted Answer

You can automate the capture and routing of form submissions to downstream systems, eliminating manual data entry and re-keying. Once a form is submitted in Formsite, that data can trigger automated workflows such as creating records in a database, sending notifications to team members, populating spreadsheets, or initiating approval processes. This removes the step of someone manually copying information from the form into your other business tools.

Question 2

How does data flow from Formsite into other applications?

Accepted Answer

Formsite form submissions can be sent to external platforms through webhooks or API integrations, allowing data to populate databases, CRMs, project management tools, or spreadsheets automatically. When a respondent submits a form, the collected data is transmitted to connected systems in real-time or on a schedule, depending on your workflow configuration. Ensure your receiving system is configured to accept and map the fields from your Formsite form correctly.

Question 3

What problems occur when automating with Formsite forms?

Accepted Answer

Field mismatches between Formsite and receiving systems can cause data to map to the wrong columns or be rejected entirely. Conditional logic in Formsite (fields shown or hidden based on answers) may produce inconsistent data structures that confuse downstream automations. Additionally, if form field names or types change after automations are set up, existing workflows may break or fail to capture data properly without manual intervention.

Question 4

How should I structure Formsite forms to make automations reliable?

Accepted Answer

Use consistent field naming and types across all forms that feed the same automation, and avoid frequent changes to form structure once automations are active. Validate that all required fields are marked as mandatory so incomplete submissions do not enter your automation. Document which form fields map to which fields in receiving systems, and test the entire workflow end-to-end before deploying to ensure data arrives correctly and in the expected format.
