Question 1

What kinds of tasks can I automate into FacileThings from other tools?

Accepted Answer

You can automate the creation of new tasks and projects in FacileThings from external sources like email, forms, chat messages, or other business applications. Common automations include converting incoming requests into FacileThings tasks, adding items from web captures or saved messages, and bulk-importing task lists. The automation handles task creation and basic assignment, but more complex GTD workflows like organizing into contexts or applying custom tags typically require manual refinement after import.

Question 2

How does data flow between FacileThings and other business tools?

Accepted Answer

Data flows into FacileThings through task creation APIs or integrations that accept new items from external platforms. Data flows out through exports or API reads that pull task lists, project status, and completion records for use in reporting, dashboards, or downstream systems. FacileThings can receive structured information (title, description, due date) from connected tools, but the tool is primarily designed as an endpoint for task capture rather than a source system for other platforms.

Question 3

What breaks when automating with FacileThings?

Accepted Answer

Automations can fail when GTD-specific fields are missing or misconfigured during import, such as incorrect context assignment or malformed priority levels. Bulk task creation sometimes exceeds rate limits or times out if the automation sends too many items at once. Another common issue is that automated task creation bypasses FacileThings' processing inbox, so tasks may not flow through the standard GTD clarification and organization workflow, leaving them unreviewed until manual intervention occurs.

Question 4

How should I structure FacileThings for reliable automations?

Accepted Answer

Set up consistent naming conventions for projects, contexts, and tags before connecting automations to avoid duplicate or orphaned items. Define clear mapping rules between incoming data fields and FacileThings fields (title, description, due date, context) so automated task creation follows your GTD structure. Create a dedicated inbox project or tag for automated items if you want to review them separately before incorporating them into active workflows. Keep your contexts and project hierarchy stable; frequent changes to these core structures can break or confuse existing automations.
