Question 1

What manual work can we automate when using Eventmaker?

Accepted Answer

Common automation opportunities include syncing registrant data from Eventmaker into your CRM or database, triggering notifications to team members when check-ins occur, automatically generating or updating contact records based on registration information, and exporting attendance statistics to reporting tools. You can also automate follow-up workflows that activate when certain attendees complete check-in or when badge information is scanned.

Question 2

How does data flow between Eventmaker and other business tools?

Accepted Answer

Eventmaker can export registration and attendance data to connected systems through API connections or webhooks, allowing real-time sync of attendee records, check-in events, and badge access logs. Data typically flows outward from Eventmaker (registrant lists, check-in confirmations, statistics) to downstream tools like CRMs, email platforms, or analytics systems. Incoming data from external tools can also populate Eventmaker registrations if your automation platform supports two-way sync.

Question 3

What gotchas should we watch for when automating Eventmaker workflows?

Accepted Answer

Badge and access control data may require careful mapping to ensure check-in events trigger correctly in downstream systems. Timing mismatches can occur if automations expect real-time check-in data but Eventmaker reports statistics on a delay. Duplicate registrations or contacts can occur if automation logic doesn't account for existing records, and badge scanning errors may not always generate detectable events for automation purposes. Test access control and check-in workflows thoroughly before running events at scale.

Question 4

How should we structure Eventmaker to make automations reliable?

Accepted Answer

Use consistent naming conventions and custom fields across events so automation rules can reliably identify and map registration data. Ensure registration types and badge categories are standardized so check-in automation knows how to categorize attendees. Set up clear status fields in Eventmaker that indicate registration stage, check-in completion, or badge access level, so downstream automations can trigger based on these states. Test your event structure with a small pilot run and verify all registration, check-in, and access control data exports correctly before handling live events.
