Question 1

What manual tasks in Dubsado can I automate with other tools?

Accepted Answer

You can automate sending contracts and documents to contacts, capturing responses and signatures, triggering follow-up actions based on contract status, and syncing accepted contract data into external systems like CRM or spreadsheet tools. Automation also works for generating new records in Dubsado based on data from other platforms, reducing manual data entry when contacts or opportunities come from outside sources.

Question 2

How does data move between Dubsado and other business tools?

Accepted Answer

Dubsado connects to external platforms through API integrations and automation connectors that can read contract status, contact details, and transaction records, then push that data into CRMs, accounting software, or databases. Conversely, data from external systems like forms, applications, or contact lists can be sent into Dubsado to create new contacts or trigger document workflows. The direction and timing of data flow depends on how you configure the automation rules.

Question 3

What are common problems when automating around Dubsado?

Accepted Answer

Signature status may not update immediately in external systems if syncs are not configured with proper timing, causing downstream processes to trigger prematurely or not at all. Contact fields that are required in Dubsado but missing from incoming data will block document creation, so validation and mapping must be done carefully. Additionally, attempting to sync the same contact multiple times can create duplicates if the automation lacks deduplication logic based on email or ID.

Question 4

How should I structure Dubsado to make automations reliable?

Accepted Answer

Use consistent contact field naming and ensure all required information is captured before documents are sent, so automations have clean data to work with. Create a standard folder or status structure in Dubsado that automations can reference reliably, and avoid manual changes to records while automations are processing them. Document which records are managed by automation versus manually updated, so team members do not interfere with automated workflows.
