Question 1

What manual tasks around Daily.co video calls can I actually automate?

Accepted Answer

You can automate the creation and distribution of Daily.co meeting links, such as generating unique call URLs when a new contact or record is added to your system, then automatically sending those links via email or embedding them in notifications. You can also automate logging call metadata (like call duration, participant count, or timestamps) back into your CRM or database after calls complete. However, Daily.co itself handles the video functionality; you are automating the workflows that surround scheduling, link generation, and data capture before and after calls occur.

Question 2

How does data move between Daily.co and other business tools?

Accepted Answer

Daily.co does not natively sync data with external systems; instead, you pull call information via Daily.co's API (such as participant details, call duration, or session logs) and push that data into your CRM, database, or analytics tool. Data flows outward from Daily.co after a call ends, or you push outward by creating rooms and links in Daily.co based on trigger events (like a new contact being created elsewhere). The integration layer must be built through automation to map call events to your existing records.

Question 3

What breaks or causes problems when automating Daily.co workflows?

Accepted Answer

Common issues include generating multiple call links for the same interaction if automation triggers fire repeatedly, participants accessing expired or incorrect room URLs if link generation timing is off, and missing or incomplete call logs if you attempt to capture data before the call has fully concluded. Room credentials and API authentication can also cause failures if tokens expire or permissions are not correctly configured. Test link generation and data retrieval in a non-production environment before automating at scale.

Question 4

How should I organize Daily.co in my automation system for reliable workflows?

Accepted Answer

Set up consistent naming conventions for Daily.co rooms so they map clearly to your business records (for example, room names that include contact ID or record reference). Store and rotate API keys securely outside your automation logic. Define when a call is considered complete before triggering data capture actions, since call logs may not be immediately available. Create separate workflows for different call types or contexts rather than building a single complex automation, which reduces failures and makes debugging easier.
