Question 1

What manual work can we automate when using Crowdin?

Accepted Answer

You can automate the movement of content into and out of Crowdin, such as pushing source files from your repository or application to a project, or pulling translated files back once localization is complete. You can also automate notifications to stakeholders when translations reach certain completion thresholds, or trigger downstream processes when localized content is ready for deployment. Automation reduces the need for manual file uploads, status checks, and coordination between teams.

Question 2

How does data flow between Crowdin and other business tools?

Accepted Answer

Crowdin receives source files (strings, documents, or resource files) from external systems via API or file syncing, stores them in the platform for translation management, and outputs localized versions back to connected systems once work is complete. Data flows in both directions: incoming content waits for translation, and outgoing translated files can be automatically routed to repositories, content management systems, or storage platforms. The platform acts as a central hub where source content enters, gets managed and translated, then exits to where it is needed.

Question 3

What breaks or causes problems when automating Crowdin workflows?

Accepted Answer

Mismatched file formats or encoding between the source system and Crowdin can cause import failures or missing content. If source files update frequently, automation may push duplicate or conflicting versions if timing is not coordinated. Incomplete translations, partial project syncs, or projects that are still in active translation can be pulled prematurely into downstream systems, creating incomplete or inconsistent localized content. It is important to confirm project completion status before triggering automation that exports finalized files.

Question 4

How should we structure our Crowdin setup so automations work reliably?

Accepted Answer

Organize content into separate Crowdin projects by source language, content type, or deployment timeline so automations can target specific workflows without interfering with others. Use consistent naming conventions for files and branches so automation rules can identify and route files accurately. Set clear translation completion thresholds and approval workflows within Crowdin before connecting it to downstream automation, so exported files meet quality standards. Document which files or projects feed into which automated processes to prevent unintended exports or overwrites.
