Question 1

What manual work can I automate by connecting Avoma to other business tools?

Accepted Answer

You can automate the distribution of meeting transcripts and summaries to downstream systems, push meeting insights and action items to task management or CRM platforms, and trigger follow-up workflows based on conversation outcomes detected by Avoma's intelligence. For example, after Avoma generates notes from a meeting, you can automatically create records in your CRM, add tasks to your project system, or send data to reporting dashboards without manual copy-paste or data entry.

Question 2

How does data flow between Avoma and other tools when I set up an automation?

Accepted Answer

Avoma receives meeting data (audio, video, or calendar events) and processes it to generate notes, summaries, and insights. When connected to other platforms via automation, Avoma can send structured data such as transcripts, identified action items, participant details, and custom metrics to those systems via API or webhook. The receiving tool then ingests this data to populate records, trigger notifications, or feed downstream processes. Data typically flows one direction (from Avoma outward) unless you configure a two-way sync with your CRM or database.

Question 3

What are common issues when automating Avoma with other systems?

Accepted Answer

Avoma may fail to detect or extract all action items or participants accurately, especially in cross-talk or low-audio-quality recordings, which can cause incomplete or incorrect data to reach downstream systems. Timing delays between meeting completion and note generation can create gaps if automations expect immediate data availability. Field mapping mismatches occur when Avoma's output fields do not align with the required input schema of connected tools, requiring manual transformation logic to prevent data loss or failed syncs.

Question 4

How should I structure Avoma to ensure automations run reliably?

Accepted Answer

Set up consistent calendar or meeting naming conventions and participant tagging rules so Avoma can reliably segment and route meeting data. Configure Avoma's settings to standardize the fields and data formats it exports, matching the schema expected by your connected systems. Test automations with sample meetings first and define fallback rules or notifications for cases where Avoma cannot extract required information, ensuring that incomplete or anomalous data does not break downstream workflows.
