Question 1

What manual tasks in Ascora can be automated when connected to other tools?

Accepted Answer

Routine data entry into Ascora can be automated, such as creating new jobs from incoming requests, updating job statuses based on external events, or populating job fields from data captured elsewhere. You can also automate actions triggered by Ascora records, like sending notifications when a job reaches a certain stage or pushing completed job data to accounting or communication platforms. Common workflows involve syncing contact information, automating job creation from forms or emails, and triggering follow-up actions based on job progress.

Question 2

How does data move between Ascora and other business tools?

Accepted Answer

Data flows into Ascora through API connections that read incoming records from external platforms and create or update jobs with relevant information. Data flows out of Ascora the same way, allowing job details, status changes, and completion data to be sent to accounting systems, scheduling platforms, or communication tools. The structure of your Ascora records (custom fields, job types, status values) determines what data can be reliably matched and transferred, so consistent naming and field setup across all connected systems is important for smooth data flow.

Question 3

What causes automations involving Ascora to break or miss records?

Accepted Answer

Automations fail when Ascora field structures change without updating the automation logic, when required fields are left blank in incoming data, or when status or category values in Ascora don't match the values being sent from other tools. Missing or duplicate contacts in Ascora can also cause automations to create records or send data to the wrong place. Regular audits of your Ascora field definitions and testing automations after any system changes help prevent these issues.

Question 4

How should I organize Ascora to make automations reliable?

Accepted Answer

Set up consistent naming conventions for job types, statuses, and custom fields before building automations, and keep your contact records clean and deduplicated. Map out which Ascora fields should connect to other tools and ensure required fields are always populated, either manually or through automation rules. Document your field structure and automation dependencies so changes can be made safely without breaking connected workflows.
