Permit & Inspection Tracking

A new project record is created in the project management system or a form is submitted with project details, location, and permit requirements.

The automation analyzes the project type, location, and jurisdiction to determine which permits are required and retrieves the checklist of required documents from a municipal database or internal rules table.

The automation creates a new row in the permit tracking sheet for each required permit, pre-populating permit type, jurisdiction, required documents, and estimated submission date.

An automated email is sent to the project manager and team listing the required documents and requesting submission by a specific date.

On a scheduled basis, the automation queries the municipal permit system or sends a status request email and logs the response (approved, pending, denied) directly into the tracking sheet.

Once a permit is approved, the automation creates a calendar event for the inspection, sends a reminder to the site crew and inspector 3 days before, and logs the scheduled date in the tracking sheet.

After the inspection, the site supervisor submits the result via a form or message, and the automation records the outcome (pass, fail, conditional) in the tracking sheet and notifies the project manager.

If a permit is denied or an inspection fails, the automation sends an immediate alert to the project manager and team lead with the reason and next steps.
