How The Automation Works

1. Drawing Receivedtrigger

A new drawing file arrives via email,, or upload to the monitored folder. The automation platform detects the submission and extracts basic metadata like filename, sender, and timestamp.

2. Extract and Classify Drawing

The automation analyzes the filename, file properties, and any accompanying message to infer the project code, drawing type, discipline, and revision number. It flags ambiguous or missing metadata for human review.

3. Query Central Repository

The automation searches for existing versions of this drawing using the inferred metadata. It returns a list of matches and their revision history.

4. Standardize and Version

The file is renamed according to the firm's standard (ProjectCode_DrawingType_Rev_Date) and tagged with project, discipline, and submission date. If a prior version exists, the new file is marked as the next revision.

5. Store in Central Repository

The standardized file is moved to the correct project folder. Previous revisions are automatically archived to a dated subfolder.

6. Update Drawing Register

A record is created or updated in a central spreadsheet (or database) with the drawing code, revision, submission date, submitter, and folder location. This becomes the single source of truth.

7. Notify Stakeholders

An automated message is sent and email to the project team, client, and relevant contractors with the drawing name, revision, and a direct link to the file.
