1. Grant opportunity posted or deadline neartrigger

A new grant opportunity is discovered via RSS feed or funder website, or a funder reporting deadline is within 60 days. The automation is triggered by a scheduled check or manual entry into the central database.

2. Log opportunity in central database

Opportunity details are automatically logged with funder name, deadline, eligibility, and funding amount. Duplicates are checked and flagged.

3. Notify team

A message is sent to the relevant channel with opportunity summary and a link. Team members can claim the lead directly.

4. Assign lead and request materials

Once a lead is assigned, an automated email is sent to the assigned person with a checklist of required documents and a deadline for submission.

5. Collect materials via shared form

Team members submit required documents via a Google Form linked. Submissions are automatically logged and linked to the application record.

6. Alert on missing materials

The system checks for missing documents 14 days before the application deadline and sends a reminder email to the lead and Grants Officer.
