Question 1

What manual tasks around Flow App webinars can be automated?

Accepted Answer

You can automate data capture after webinars end, such as sending attendee lists to other systems, logging participant email addresses into your contact database, or triggering follow-up actions based on attendance. You can also automate scheduling and reminders by connecting Flow App to your calendar or notification tools, so webinars are promoted automatically and confirmations are sent without manual effort. Registration data can flow directly into downstream systems rather than requiring manual export or re-entry.

Question 2

How does attendee and webinar data move between Flow App and other business tools?

Accepted Answer

Flow App can pass registration information, attendance records, and participant metadata to external platforms through API connections or webhook triggers. This allows attendee data to populate your CRM, email platform, or database in real time as registrations come in or webinars conclude. Data can also flow into Flow App from other systems to pre-populate registration forms or segment audiences before a webinar launches.

Question 3

What gotchas should we watch for when automating around Flow App webinars?

Accepted Answer

Timing mismatches can occur if automations trigger before attendee data is fully recorded at webinar end, so buffer time is important. If you map registration fields incorrectly to receiving systems, contact records may contain incomplete or misaligned data. Also confirm that your connection handles large attendee lists without throttling, especially for webinars with high registration volumes, to avoid dropped records.

Question 4

How should we structure Flow App to support reliable automations?

Accepted Answer

Use consistent naming and field structure in your webinar registration forms so data maps cleanly to other systems without manual transformation. Set up separate webinars or campaigns for different audience segments if they require different downstream actions, so automation rules stay clear and don't conflict. Test your full automation flow on a small webinar before running it on large-scale events to catch configuration issues early.
