About This Automation
Daily field reports require supervisors to manually collect photos, organize them by location and trade, write summaries, and insert images into documents. This repetitive manual work consumes hours each day and delays project visibility.
Automation captures photos as they arrive, organizes them by metadata, generates draft reports with images already matched to sections, and delivers a complete report to the project manager within minutes. The supervisor reviews and approves rather than creates.
Key features:
Automatically organize photos by timestamp, location, and work phase as they upload
Generate draft daily report summaries from photo metadata and crew notes
Match photos to report sections without manual insertion or linking
Sync completed reports and organized photo sets to your project management system
Notify the project manager immediately when reports are ready for review

1. Photos Uploaded to Cloud Foldertrigger
Automation detects new photos in the shared folder at end of shift. Trigger fires when a batch of images is detected.
2. Extract Photo Metadata and Organize
Automation extracts timestamp, geolocation, and filename from each photo and sorts them chronologically and by location. Creates a structured index of all images.
3. Generate Draft Report Summary
The automation reviews photo metadata, timestamps, and any notes attached to the upload and generates a draft daily report summary including work completed, crew activity, and site conditions.
4. Create Report Record
Automation creates a new daily report record with the draft summary, embedded photo gallery, and metadata fields pre-populated.
5. Notify Supervisor for Review
Automation sends a message to the supervisor with a link to the draft report, asking for review and any manual edits needed.
6. Supervisor Reviews and Approves Report
Supervisor opens the record, reviews the draft summary and photos, makes any corrections or additions, and marks the report as approved.
7. Notify Project Manager of Approved Report
Automation sends a notification to the project manager with a link to the approved report and a summary of key updates from the day.
Everything you need to know before mapping this process.
Automation flags incomplete photos for supervisor review and places them in a holding folder. The supervisor can add missing details or request the crew to re-upload with proper information before the report is finalized.
